The Project Coordinator provides comprehensive support across programmatic, financial, administrative, and logistical aspects to ensure seamless implementation. The Project Coordinator’s responsibilities include facilitating effective collaboration among program components, organizing events, communicating with stakeholders and vendors, drafting program-related documents, supporting monitoring and evaluation activities, and assisting with translation tasks. Additionally, the Coordinator will be responsible for communicating with local partners, contributing to Spanish-language communications products, preparing reports, and facilitating communications with stakeholders.

The Project Coordinator is a part- time position.

Your Background & Skills

  • Bachelor's degree in business management, administration, human resource management or related field,
  • Minimum of 2 years' relevant work experience.
  • Very good command of English Language is required.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel) Excellent attention to detail and strong organizational skills including time management, ability to prioritize multiple tasks in a fast-paced working environment, and ability to remain flexible while adhering to strict deadlines.
  • Excellent interpersonal, customer service, and communications skills, both oral and written required
  • Ability to follow oral and written instructions.
  • Good writing skills in both English and Spanish Languages
  • Positive attitude and willingness to support and assist colleagues.
  • You must have unrestricted authorization to work in Mexico.

Your Daily Tasks

  • Provide a full range of program support to the IREX Mexico based Program Manager in implementation of Program activities.
  • Provide support to monitoring and evaluation activities, data collection, and reporting.
  • Assist program staff as needed and provide general support to staff including note-taking, and other relevant duties.
  • Translate program-related documents as needed (English- Spanish and vice-versa)
  • Travel throughout Mexico to attend program events and meetings (if possible and according to IREX policy)
  • Support the development, design, and distribution of Spanish-language communications products detailing Ambulantes II program findings, events, tools, and/or successes.
  • Preparation of reports on the results of the program implementation.
  • Support the Program Manager and IREX HQ team with general administrative tasks including but not limited to coordinating domestic travel, event logistics, purchasing of equipment, and financial reimbursements.
  • Responsible for diligent record keeping of program related documents, financial forms and payments.
  • Support effective collaboration within the program components, partners, stakeholders, experts, trainers, and key stakeholders.
  • Assist in the organization of program events, including training, meetings, and workshops.
  • Communicate with vendors and other subcontractors.
  • Under the supervision of the Program Manager, communicate with local implementing partners regarding technical performance and deliverables, including programmatic, financial, and monitoring and evaluation reporting.
  • Facilitate successful communications with Ambulantes’ II stakeholder network including government, and local, regional, and international organizations in accordance with programmatic communications strategy.
  • support the development of Spanish-language communications products detailing Ambulantes II program findings, events, tools, and/or successes.
  • Support one or more areas of the proposal development process, including proposal writing, and review.
  • Provide programmatic, financial, administrative, and logistical support to ensure smooth implementation of the program.
  • Draft program-related documents, financial payments, reports, and success stories
  • Support effective collaboration within the program components, partners, stakeholders, experts, and trainer
  • Seek opportunities to encourage team members to create more efficient processes and workflows that improve the overall program.
  • Other support duties as needed.
