The Program Assistant will be responsible for welcoming and helping visitors and partners, providing information on programs, resources and opportunities offered and assisting with organizing America House Kyiv events and other tasks to implement programs.

Your Background & Skills

  • Bachelor’s degree.
  • Minimum of 1+ years of relevant experience.
  • Excellent English and Ukrainian.
  • Experience working in communications is an advantage.
  • Experience studying in the United States or holding an ECA alumnus/a status is an advantage.
  • Strong intercultural and communications skills.
  • Excellent verbal and written communication skills.
  • Reliable team player.
  • Demonstrated customer-service orientation, skilled at handling multiple tasks and able to maintain a calm, friendly demeanor under stressful situations.
  • Must be able to adhere to tight deadlines.
  • Familiarity with Word, Excel, PowerPoint, Adobe InDesign, Photoshop, Illustrator, and other related graphic media applications software is an advantage.
  • Must demonstrate valid proof of unrestricted work authorization in Ukraine.

Your Daily Tasks

  • Assist with America House Kyiv program development and implementation in online, offline and hybrid formats.
  • Assist with writing narrative reports and monthly plans.
  • Assist with reporting, internal procedures and management of America House resources through data entry into excel worksheets and calendars.
  • Write and translate outgoing communication and promotional materials into English and Ukrainian.
  • Assist with day-to-day management and organization of America House Kyiv virtual and physical resources.
  • Register new members and maintains membership, visitors, and program attendee’s database.
  • Assist visitors with checking out and using IT equipment. Provide basic tech support for laptop and tablet use.
  • Provide logistical support and room setup for in-person and hybrid events. Please note that the room setup often requires moving chairs and tables.
  • Ensure America House Kyiv public spaces are always in presentable and working condition.
  • Coordinate with the America House team, cafeteria staff, cleaning personnel, and other support staff to ensure smooth daily operations. This includes ensuring that all necessities and supplies are stocked, and addressing any visitor inquiries.
  • Meet and greet visitors and callers with courtesy and professionalism. Provide basic information to general inquiries verbally and in written form through America House’s communication channels, presents America House resources, programming and opportunities for its visitors.
  • Interpret/translate for the international guests.
  • Maintain office stock of office supplies and order new supplies when need arises.
  • Support the America House team as needed and provides general support to staff including photocopying, filing, note-taking and other relevant duties.
  • Guide and fulfill correspondence with speakers and partners in preparation for lectures, workshops and other activities.
  • Other duties as assigned.
