Administrative Assistant for Faculty Recruiting

Temporary, part-time, non-exempt

Up to 30 hours/week for 6-10 weeks

Reports to: Vice Dean for Faculty

Hourly Range: $21-27/hour

Position Summary:


The Administrative Assistant supports and contributes to the mission of the Faculty Appointments Committee through administrative and technical assistance, scheduling, arranging travel, faculty support, and other general support. This is a residential position, requiring a regular presence on campus. This is a part-time, temporary position, expecting 30 hours a week for 6-10 weeks.


Key Duties and Responsibilities:


Faculty and Faculty Appointments Committee Support

  • Assist with scheduling interviews, coordinating with FAC, candidates, and faculty. Confirm scheduling with Vice Dean for Faculty and Executive Assistant to Vice Dean for Faculty. Support FAC members, including assistance with taking minutes in meetings, scheduling, and calendar management.
  • Guide candidates around campus and serve as a point of contact for candidates during their visits to VLGS
  • Assist with processing reimbursements, credit card reconciliations, and payment vouchers for any expenses related to candidate campus visits or travel.
  • Assist candidates with any travel arrangements needed for campus visits and/or interviews.
  • Maintain files, both electronic and paper.
  • Provide administrative support including printing, photocopying, and scanning, and others as needed.
  • Request support for faculty and staff from other departments as needed, such as IT for technology assistance and Buildings and Grounds for maintenance needs.

  • Other duties as assigned.

Required Education, Skills, and Experience:

  • Associate's degree plus two or more years of relevant experience.
  • Strong calendar management skills required. Event or travel planning experience a plus.
  • Understanding of and appreciation for inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints; demonstrated experience working with diverse groups of people.
  • Excellent written and oral communication skills.
  • Outstanding interpersonal skills and demonstrated ability to work effectively in collaborative relationships.
  • Ability to gather data, compile information, and maintain recordkeeping systems.
  • Ability to organize, prioritize, and schedule work assignments.
  • Basic knowledge of budgets and cost estimating and processing.
  • Ability and willingness to learn new technologies and adapt to changing technological work environment.
  • Solid computer skills, preferably in a PC, Windows-based operating environment; experience with Microsoft Office (365) applications, and virtual work environments.
  • Demonstrated familiarity and interest in food systems law and policy.

Other Requirements:

  • 85% computer-related work.
  • Primary work is done sitting and/or standing at a desk.
  • Attendance at events and meetings after traditional business hours may be required.
  • Ability to prioritize multiple tasks and deadlines and reorganize under pressure.
  • Ability to work independently and collaboratively within a team.
  • Willingness to travel to conferences and events.
  • Must be able to work legally within the United States without sponsorship.
  • Ability to perform all essential functions of the job with or without basic accommodations.
