Description: Position Description
Reporting to the Associate Dean for Student Services, the Assistant Director of Student Services provides broad administrative support to the division, partnering with senior leaders and engaging with faculty and staff across the School as well as students, alumni, employers, and vendors. Among the primary responsibilities are assisting with the implementation of the division's strategic plan, managing division-wide reporting and metric tracking, leading commencement planning and execution, supporting events and programming across OSS, student communication, project management, and general administration. The assistant director is a dynamic generalist role with varied responsibilities serving multiple offices. Communication, collaboration, and strong customer-service orientation are integral to success, as are technical and administrative skills, and the ability to manage tasks and meet deadlines.
Duties and responsibilities include, but are not limited to, the following:
  • Assist with OSS strategic planning and implementation of strategies and key measures. Provide progress reporting to the Associate Dean, identifying gaps and opportunities that cross individual units.
  • Provide project management for OSS committees and working groups.
  • Design, create and deliver OSS division-wide progress reports and metric tracking.
  • Support the implementation of policies and procedures across Academic Departments and programs.
  • Lead the planning and execution of the Harvard Chan School Convocation, Award Ceremony, and Commencement, serving as primary point of contact for all collaborators and stakeholders. Manage the budget and volunteers for convocation and the award ceremony.
  • Support other major events such as Orientation and Admitted Students' Day.
  • Lead processes related to Student Code of Conduct investigations: responsible for triaging misconduct reports, conducting research and interviews, providing information and documentation to the Associate Dean for Student Services, attending Council meetings, and record keeping.
  • Under the direction of the Harvard International Office (HIO) and working in collaboration with Admissions, Financial Aid, and Registrar's offices, manage student visa changes including extensions and funding changes and updating ISSM.
  • Collaborate across the School on behalf of the Office of Student Services and serve as a representative for the Associate Dean in their absence.
  • Manage the process for evaluating and analyzing the effectiveness of student services; e.g., student feedback forums, and surveys.
  • Work with OSS units to ensure that the web site and Student Handbook are updated annually.
  • Serve as back-up in the absence of the Office Manager; e.g., processing invoices, reimbursements, and P-Card charges.
  • Title IX Resource Coordinator for HSPH (receive and respond to disclosures; implement interim measures; provide resource referral; represent University policy and serve as local subject-area expert for University policy; attend ongoing training; management student online training modules)
  • Perform other duties and projects, as assigned

Basic Qualifications
  • Bachelor's degree or equivalent work experience required
  • Minimum of 5 years' relevant work experience

Additional Qualifications and Skills
The following job-specific skills and competencies are preferred:
  • Bachelor's degree
  • Previous experience in a higher education student services environment
  • Experience maintaining and updating websites
  • Experience using office technology, especially MS Office suite and CRM or other databases
  • Demonstrated organizational skills
  • Aptitude to working both as a member of a highly collaborative team as well as independently
  • Excellent verbal and written communication skills, including the ability to address diverse audiences
  • Demonstrated cultural competence and proven effectiveness in serving the needs of a diverse graduate student population
The following cultural competencies are also preferred:
  • Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments
  • Knowledge of and commitment to concepts and issues tied to social justice, diversity, equity, and inclusion
  • Skills related to creating and supporting an environment that allows for inclusion, effective intercultural engagement, and personal humility and authenticity
